This policy covers our website and related enquiry communications. Personal information processed by a robot, a manufacturer's software or an external platform may be covered by a separate notice from the relevant provider.
Information you provide
Depending on the form or communication channel you use, you may provide:
- Your name, email address, organisation, country or region, and any telephone number or messaging details you choose to share.
- The robot model, configuration, application, quantity, intended timing and type of enquiry that interest you.
- Project requirements, such as your institution or venue type, learning goals, group size, research task, event date and location, operating environment or integration needs.
- Your messages, our correspondence and any additional information you voluntarily send.
Fields marked as required are needed to handle the relevant request. You are not required by law to submit a website enquiry. If you do not provide the necessary contact details and information, we may be unable to respond or assess your request.
Please do not include pupils' or students' personal information, health information, identity documents, payment card details or other sensitive personal information in an ordinary enquiry. Describe educational groups and audiences in aggregate where possible. If you provide another person's business contact details, make sure you are entitled to do so and bring this policy to their attention.
How information reaches us
We receive information that you send through an enabled contact form, email or messaging channel. Typing into a form does not by itself submit the information to us. Our application-specific forms prepare an editable enquiry draft and take you to the contact page; that step does not send the enquiry.
While you prepare an enquiry and move between website sections, the draft is kept in temporary page memory. When you submit a valid form, the website also saves a short-lived copy in sessionStorage in your browser so your entries can be restored if submission returns an error. This copy has a 30-minute expiry, is discarded when expired data is next checked, and is cleared after a confirmed successful submission. Browser session-restoration features may operate separately. This browser copy is separate from the enquiry sent to Shopify and from correspondence we receive.
When your browser requests a page or resource, the server handling the request receives technical information, including your IP address and information needed to deliver the resource. Website hosting and security services may also record request times, requested resources, browser information, referring pages and error information for operation and security. Our retention arrangements are described below.
Why we use information
We use relevant information to respond to your enquiry, understand your requirements, discuss product options, prepare requested quotations and manage the resulting communications. We also use technical information to deliver the website, investigate errors and protect it against misuse.
Where UK or European data protection law applies, the legal bases for these activities are:
- Business enquiries and project discussions: our legitimate interests in communicating with business and institutional contacts, assessing requests and managing commercial relationships. These interests must be balanced against your rights and reasonable expectations.
- Steps towards a contract with you personally, or performing such a contract: contractual necessity, where the relevant processing is necessary for that purpose. This basis does not automatically apply just because you represent a company or institution.
- Website delivery, troubleshooting and security: our legitimate interests in providing a functioning and secure website, subject to the applicable necessity and balancing requirements.
- Records or disclosures required by law: compliance with the legal obligation that applies to the particular record or request.
- Any activity for which we specifically request consent: your consent for the stated purpose. You may withdraw it at any time without affecting processing that was lawful before withdrawal.
Submitting an enquiry is not consent to unrelated marketing. The website does not make decisions about you by solely automated means that produce legal or similarly significant effects.
Who may receive information
Access to enquiry information is limited to people and service providers who need it for the purposes described in this policy. Depending on the request and the services used, recipients may include:
- Providers of website hosting, security, enquiry delivery, email and business communications that process information for us.
- The relevant robot manufacturer or technical supplier, where particular information is needed to assess configuration, compatibility or another question you have asked us to resolve.
- Professional advisers or public authorities where disclosure is necessary to meet a legal obligation or establish, exercise or defend legal rights.
We limit the information shared to what is needed for the relevant purpose. A later purchase or project may require additional information and recipients, which will be explained when relevant.
We use Shopify to host this website and provide its contact form, security and related website functions. When you submit the contact form, Shopify processes the information needed to receive and deliver your enquiry. For information about Shopify's processing, read its Privacy Policy and Data Processing Addendum.
Shopify Network Intelligence is enabled for this website. Shopify uses information about interactions with this site, other merchants and Shopify to support enhanced services such as personalisation, analytics and relevant advertising. Information is shared with Shopify and relevant third parties, which may be in other countries. Read the Shopify Consumer Privacy Policy. You can review the applicable choices on this website and use Shopify's privacy portal to exercise rights concerning Shopify's processing.
Our business email is routed through Alibaba enterprise email services. When you email leo@farsen.tech, the email service handles sender and recipient details, message content, attachments and delivery information to send, receive, store and manage the correspondence. Further information is available in the provider's Alibaba Mail privacy information. This does not mean that email is hosted in a particular country or data centre.
If you choose to contact us through WhatsApp or another external service, that provider also handles information under its own privacy terms. An external contact link is not an embedded chat service running on this website.
Fonts and external websites
The website serves Hanken Grotesk fonts from files delivered with the site. It does not request fonts from Google Fonts.
Links to manufacturer websites, source materials and other external websites take you to services operated by their respective providers. Review their privacy information before sharing information with them. For cookies and similar technologies on our website, read our Cookie Policy.
Shopify also provides platform-level usage measurement and privacy controls. The technologies and choices applicable to the website are described in our Cookie Policy.
Where information is processed
FARSEN is operated by a company registered in China. The website uses Shopify's international service infrastructure, and our business email uses Alibaba enterprise email services. These providers and their service providers may process information outside your country. The Shopify hosting setting for this store is the European Union. That setting does not mean that every processing activity, email record or service provider is confined to the EU. Processing locations can vary by service and infrastructure; we do not offer a UK-only or EEA-only processing guarantee.
Shopify describes its international processing and applicable transfer safeguards in its Data Processing Addendum and international data transfer information. These documents describe Shopify's arrangements and do not establish a separate transfer mechanism for FARSEN or another provider. Access and disclosure for our business purposes are limited to the purposes and recipients described in this policy.
Where applicable law requires safeguards for an international transfer, you may contact us to request information about them or a copy, subject to the protection of confidential information. Contacting an overseas business does not, by itself, constitute consent to every possible international transfer.
How long we keep information
For enquiries that do not lead to a transaction, we review the records 12 months after our last substantive business contact with you. We delete or anonymise records that are no longer needed. If a specific ongoing business purpose, legal duty or dispute requires longer retention, we retain only the relevant information and review that need again.
Website access and security records are handled by the hosting and security service providers under their applicable retention arrangements. Where we obtain technical records to investigate an incident, we keep only what is needed for that investigation and related legal requirements, and delete or anonymise it when it is no longer needed. This is separate from our 12-month review rule for enquiry correspondence.
Where an enquiry leads to a purchase or project, relevant correspondence becomes part of that relationship's records. Its retention depends on the duration of the relationship, applicable accounting and record-keeping duties, and the period reasonably needed to address contractual claims. Further retention information will be provided for that transaction where needed.
A specific legal duty, active dispute or investigation may require particular records to be kept longer. Records retained for such a reason are limited to what that reason requires. We delete or anonymise personal information when it is no longer needed for the relevant purpose.
Your choices and rights
Depending on the law that applies and the circumstances, you may have rights to:
- Request access to your personal information and a copy of it.
- Ask for inaccurate information to be corrected or incomplete information to be completed.
- Request deletion or restriction of processing.
- Receive certain information in a portable format or request its transfer where the right to portability applies.
- Withdraw consent where processing relies on consent.
Your right to object: You may object to processing based on legitimate interests on grounds relating to your particular situation. You may object at any time to processing for direct marketing.
To make a request, contact leo@farsen.tech. We may ask for information reasonably needed to verify your identity or understand your request. Rights are subject to the conditions and exceptions in the applicable law, and we will explain any limitation that affects our response. We will respond within the applicable legal time limit.
Privacy complaints
You can raise a privacy concern or complaint at leo@farsen.tech. Please describe what happened and the outcome you are seeking. Where the UK data protection complaints requirements apply, we will acknowledge receipt within 30 days, investigate as appropriate and inform you of the outcome without undue delay.
You also have the right to complain to the relevant data protection authority where applicable. In the United Kingdom, you can contact the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/. In the European Economic Area, this may be the authority in your place of habitual residence, work or the alleged infringement. You do not have to obtain our permission to contact an authority.
Security and educational enquiries
No internet connection or storage system can be guaranteed completely secure. Please use ordinary enquiry channels only for information needed to discuss your request, and contact us first if a more suitable method is needed for confidential material.
The website's enquiries are intended for adult representatives of businesses, educational institutions and other organisations. It does not provide student accounts or request children's personal details. If you believe a child has sent us personal information, contact us so that we can review the situation and take appropriate action.
Changes to this policy
We may update this policy as our website, processing activities or applicable requirements change. The “Last updated” date identifies the latest revision. Where a change requires additional notice or consent, we will provide it as required before the relevant new processing begins.
